Board Secretary

The Board Secretary will abide by the adopted school mission, vision and core values as a member of the Board and will participate in the annual new student Family Intake Conferences.

The Secretary maintains the record of the Board's activities. The Secretary is responsible for: communication with the Chairman regarding upcoming full board and executive committee meetings as well as all board members and staff as needed in preparation for those meetings. The position of Secretary requires several hours each week, although time commitments do vary from week to week.

Duties:

1. For regular, special called, and executive board meetings:

  • Prepare draft agenda and send to Board and selected staff
  • Have school administrative assistant post agendas for the board at least 24 hours before the meeting
  • Inform board members & selected staff of the date, time and location of each meeting
  • Take roll call at all board meetings and maintain a record of attendance
  • Record draft minutes of the meeting
  • Send draft minutes to board members and needed staff prior to next board meeting
  • Make corrections to draft meeting minutes and finalize minutes
  • Save finalized minutes in .PDF format

2. Maintain a list of committees approved by the board.

3. Maintain a schedule of board meetings approved by the board.

4. Coordinate with the web master to post approved minutes and agendas from regular and special board meetings on the school's web site.

5. Respond to Freedom of Information Act (FOIA) requests and ensure the request is fulfilled within the estimated time of the response.

6. Conduct board meetings in the absence of the Chairman and Vice Chairman.

7. Sign official board documents or letters when required.

8. Maintain an archive of board records (at a minimum on the school's server in an area that is regularly archived):

  • Agendas, draft and final minutes
  • Financial reports
  • Correspondences
  • Committee reports
  • FOIA requests and responses
  • Board Schedule
  • Committee list
  • Approved board duties
  • Current school charter (electronic copy)

 

Required Qualifications:

  • Effective communicator and listener, organized
  • Detail-oriented
  • Able to take notes and summarize decisions and actions efficiently and effectively
Desired Qualifications:
  • Prior board or board secretary experience, not necessarily with LCMS
  • Access to a laptop with MS Word, Adobe PDF writer, and a high-speed document scanner
